Calculating CPS Student Response Rates

Last Updated: Feb 22, 2019 11:11AM CST
All grade levels, including the 4th and 5th grade pilot, are included in the school’s response rate displayed in the Admin Dashboard.

The 2018-19 CPS 5Essentials Survey is open to students in grades 4-12; however, only 6-12 grade data will be included in the 5Essentials scores reported for each school and included in the SQRP. Lower grades have been asked to participate as a part of the statewide pilot; data from these grades will be reported as supplemental. A 50% response rate is required to receive data from either grade band. (Please note that next year, 2019-2020, 4th and 5th grade students will no longer be separated and will be included in the standard results and overall rating and thus, will be included in your school’s SQRP. )

To ensure that your school qualifies for a student report, please following the steps below to calculate your school's response rate for students in grades 6-12.
  1. Go to and select your school. When you're on the roster page, see the highlighted area below to download a CSV of your student roster.

  1. Select all students in grades 4-5 and then delete them from the file (or move them into a new worksheet if you wish to determine that response rate).

  1. With only students in grades 6-12 remaining, go to the Data tab (1) click in the upper left-hand corner of the worksheet to select all fields (2), then select Sort (3) (see highlighting).

  2. Sort the list on the column titled "Started" (which will include all students that started the survey). From there you can see the number of students that have started the survey, and the total number of students in grades
    6-12 on your roster.

You can then calculate your response rate by dividing the number of students that have started the survey by the total number of students on your roster. (Surveys that have been started but not submitted are included in the response rate.)

Please note that provisional submissions will be reconciled at the close of the survey window and, like a standard survey submission, these submissions will count towards the schools' overall response rate.
